Describe the work first
Start with the job you need the vehicle to do. What will it carry, tow or support? Where will it work, and what does a typical day involve? Share the expected load, route conditions and operating schedule as requirements to discuss. If any figures are estimates, label them clearly so they are not mistaken for final specifications.
Identify your candidates and priorities
Include catalogue links or model names, your preferred quantity and any configuration you want checked. Separate essential requirements from preferences, such as brand, cab layout or body style. Ask what information is available for the particular vehicle, including current photographs, specification details and condition information. This creates a clear list of questions for the quotation stage.
Set the scope of the response
Name the destination country and proposed port, if known, and give your target timing. State which costs and services you want the quotation to address. Ask the seller to distinguish confirmed details from points still awaiting confirmation. Finish with one contact person and a preferred reply language, making it easier to keep later updates in one conversation.
